This is to facilitate owners to check on their maintenance account and to give their feedback on opinions/suggestions/complain that need urgent attention. This facility also enables owners to check on the up-grading works that are in progress.

Therefore, in order for owners to gain access to the website, you are required to go to the management office to get your password. Our site staff will be most happy to assist you.

Letter dated: 3rd June 2008 - MAS APARTMENT CLEANNESE AND LANSCAPING IS NOT UP TO EXPECTATION

We as the Committee Members of MAS Apartment recently found that many owners has made complain to us on the job provider by the cleaners and landscaping is not up to the mark. The quality of the jobs has been degrading in recent months and we hope that you can look in to this effectively and urgently.

a) There is NO watering on the plants and some of it is dying off within the compound of parking, playground, swimming pool and etc.
b) There is no sweeping on each floor of walking corridor daily.
c) The lift do not have the wiping detergent smell, so either the cleaner did not wipe or did not use detergent do to so compare with last time.
d) Please wash up the rubbish bin stand constantly and the rubbish room in Block A & B daily so there is no ODOR floating around the compound.
e) Please do not use the swimming pool walkway (shortcut) for disposal of rubbish (trolley) from Block B because it crack-up the tiles on the stair case.
f) Please remove rubbish or unwanted materials at the staircase especially on Block B. E.g mattresses, bicycle that cannot be use, brooms and etc.
g) We prefer previous cleaners (the plump Malay women, she is more responsible) compare with the present one.
h) There is no systemize of cutting or trimming the plants.
i) Washing the toilets, windows and sweeping the community room in Block B
j) Toilet in Block A, please remove unwanted stain. It is very dirty even though not many people using it.
k) Allocate the toiletries utensil in toilet. E.g: broom, mock and etc.
l) Cleaner should clean up the guard house daily. It is a mess.
m) Wipe and re-arrange the swimming pool table and chairs accordingly.
n) Clean up and dispose of rubbish at the BBQ area after using.
o) Clean up the Notice board constantly
p) Please provide your current year service contract for our MC revision.
q) Please list your cleaner job activity and landscaping in details. E.g: how many cleaners allocated, their daily job routine, any scrubbing on common area, how long to your cleaner clean the railing, how often to you fertilize the plant and etc.

Since after issuing this letter to KIP management and the cleaner company, they have proceeded the tasks and their jobs with expectation. Their cleaner supervisor has taken extra intiative and responsible to made sure the above complain is look into it. I would like to said thank you and congratulate for his extra effort.

LandServe our new Property Manager from 1st August 2008

1) From 1st. August 2008 Damansara MAS Apartment would be officially handle by " Damansara MAS Apartment Management Corporation".

2) Landserve, the new Property Management will be taking over from KIP, the developer and IM Global Property Consultant starting from 1st August 2008. All communication and correspondence shall be forward to LandServe thereafter. The building executive will be Mr. Jeffrey Chew.

3) All payment by cheque shall be issued to "DAMANSARA MAS APARTMENT MANAGEMENT CORPORATION" and NO more to Kepong Industrial Park Sdn Bhd.

4) The new management office for Damansara MAS apartment will be located at Block B, ground floor opposite the lift entrance. Our new address shall be:

Current issues monitor by MC

Below are some of the important issues related to MAS apartment.

1) Fire alarm panel & Co2 control system not working in electrical room on both Block A & B and guard house.
We have ask the RIASSERA SDN. BHD., fire fighting company to check and provide a report on the outcome of their inspection as well as the quotation.

2) Fire extinguishers has expired since Feb'08 and being replace recently on all floor.
DONE!!!!

3) Touch and Go System not working.
After checking with IM Global property manager Daniel, he said the PC and Touch & Go controller is not working and it is very prompt to lightning strike. Currently Sutera and Suria has this problem too. We are currently seeking contractor's and their quotation for the repair.

4) Financial and account to be transfer over by the KIP the developer. We will be going through the account with LandServe once it has finalise the transfer.

Dear All,

RE: Safety Alert: Relocation of Flower Pots Placed on Edge of Corridor Wall and Hanging outside Corridor.

For your kind information, there was a storm two weeks ago (19th June 2008). The wind was very strong and cost some damages, even tiles were fallen from the roof top and hit MAS apartment car porch.

In view of the above, we would like remind and alert all residents to relocate flower pots that are currently being placed on the edge of corridor walls and hanging out side corridor. The flower pots might fall and endanger our safety; this could also become legal liability to the owner if people get hurt in any unforeseen circumstances.

Kindly inform our neighbor on the above.

RE: Management Information Update
With reference to the above mentioned subject, we would like highlight to all residents on the following management updates:

a. Formation of Management Corporation
After successful nomination and election on 16th March 2008 (during the first AGM), Damansara MAS Apartment Management Corporation has been officially formed on 9th April 2008 under the Strata Title Act 1985.

b. Change of Management from KIP to Management Corporation
KIP will no longer managing Suria, MAS and Sutera Apartments, the management will be taken over by Management Corporation of each apartments.

c. Management Handover and Account Cutoff Date for MAS Apartment
KIP and the newly formed Management Corporation have agreed to set 1st August 2008 as the official management handover and account cutoff date. Effective from the handover date, all communication, complain, enquiry, payment and etc should refer and/or address to DAMANSARA MAS APARTMENT MANAGEMENT CORPORATION.

d. Management Corporation Meeting List
There were more than 12 meetings carried out by the newly formed management corporation in March, April and May to ensure smooth management transition. Kindly refer to the appendix for the meeting list.

e. Relocation of Management Office
Suria Apartment Management Corporation has also been formed. They have decided to set up their own management office. Due to cost concern, we have decided not to continue renting the existing management office (in Suria Apartment). We have decided to relocate the management office to Ground Floor Block B, MAS Apartment. We will relocate the community hall to Block A.

f. Appointment of New Property Management Service Provider
After detail meetings and discussion on vendor selection, Damansara MAS Apartment Management Corporation has decided to appoint a new property management service provider, effective from 1st August 2008. All other service contractors remain unchanged (e.g. cleaning service, lift maintenance and pool maintenance services)

g. Joint Property Inspection
KIP and Management Corporation will conduct a joint property inspection on Thursday 5th June 2008 at 8pm to identify all areas that needs improvement before the official management handover.

h. Next Course of Actions
i. Management Corporation will set up office in Block B in June 2008
ii. Offer appointment to new property service company in June 2008
iii. Get the new property company to assist to ensure smooth transition
iv. To renew all existing service providers contracts on monthly basis to evaluate performance.

Our Objective for Year 2008 and 2009

1) To made sure the transition period and hand over run smoothly from KIP, to Damansara MAS Apartment Management Corporation (DMAMC) and later to LandServe Property Management.

2) To audit and check the financial account when transfer over.

3) To improve the financial standing and sinking fund.

4) Try to reduce expenses.

5) Try to maintain existing maintaining fees or reducing it.

6) To improve maintenance fee collections.

7) To improve security measures on the building and entrance.

8) To improve living standard and quality tenants.

9) To improve landscaping and standardizing it.

10) To budget and allocate fund for building painting in the future.

11) To budget and allocate fund for part replacements on water and swimming pumps, lifts motors and etc. (Note: Life span of this equipments are expected to wear off in due course after 8 years and replacement cost is expected to be high).

To offset the increase of electricity and water hike (expected by 2009) on the common area would be:-
a) To increase the rental fees on shop lots.
b) To increase rental car parks.


Our Future Plan.
a) To allocate one empty shop lot for library cum game room for children.
b) To install CCTV on all corridor and lifts.

Letter dated 30th May 2008 - NEED FOR IMPROVEMENT AND REGULATION ON EXISTING SECURITY MEASURES

We would like to bring to your attention that the existing security measures are lacking in certain areas. Listed below are the areas that need attention and improvement: -

Security officer/guard to clock in and go-rounds watching systematically.
Two-security officer/guard should always be present at all times during duty as per contract.
Security officer/guard in case of any Emergencies or Break-ins appropriate action should be carried out.
Security officer/guard No Non Residents/ Outsiders should be allowed in without proper registration/clearance from Resident/Tenant.
Security officer/guard to ensure that residents using the swimming pool use the proper attire. Any children below the age of 12 years old should be accompanied by the parents/guardians. Non-Compliance to the Rule the security guard has the right not to allow them to use the swimming pool.
Security officer/guard no persons distributing Pamphlets/Brochures etc to be allowed into the premises by the guard in duty.
Security officer/guard on duty must ensure that all utility rooms to be kept locked at all time and keys to be held by the guard on duty.
Security officer/guard must be properly attired in full uniform, which shall be well pressed, and fully buttoned up.
Guard should clamp vehicles on illegal parking and fine RM50.00 . The money to be deposit in to MC account.
Visitor must register and initial the register form. The form will must consist notice on warning of clamping and fine charges for illegal parking, parking at own risk, time enter and leave, resident address to be visit and etc. The form would be created later by the new management.
Notice should be put on the barrier “Any vehicle that park at authorize area will be CLAMP and FINE RM50.00”
Security company should be responsible for any equipments that loss inside the guard house. E.g Loss of Axe, Touch and Go computer, keys to utility room and etc.
Security should have a checklist for item listed in the guard house, like keys, computer when changes of security shift.
Security must enforce the House Rules effectively and constantly. E.g: Clamping illegal parking, apply overnight visitor parking pass and so on.

In response to the call for nominations for Chairman, Secretary and Treasurer, Muniandy nominated Dann Goh to be MC 08/09 Chairman, Annie Tan to be MC 08/09 Secretary and Angie Ng to be MC 08/09 Treasurer.
Desmond Tang seconded the motion. There are no objections from the committees and no further nomination. The nomination is closed. Dann Goh, Annie Tan and Angie Ng accepted the appointment.

Angie Ng proposed a resolution to open MC bank account at Hong Leong Bank KIP branch and proposed four signatories for the bank account, namely Dann Goh, Annie Tan, Angie Ng and Liew Chew Hwa, she also proposed that all MC cheque should be signed by any two of the signatories during MM official meeting.
Annie Tan seconded the motion. Annie Tan will refer to IM Global on account opening procedure.

Dann Goh welcomes all committees and indicated his wish to work closely with all committees for the benefits of everyone.

Next Meeting
Chairman proposed for 2nd MC Meeting on 27/03/2008, Thursday 8.30pm at the same venue.
The next meeting agenda as followed:
To decide whether to confirm, vary or extend insurance effected by previous management;
To decide whether to confirm or to vary any amounts determined as contributions to the management fund;
To decide whether to amend, add or repeal by-laws in force;
To determine the portion of contribution to the management fund to be paid into the special account to be maintained under Section 46 of the Strata Title Act, 1985.
